Who We Are

Krobyte ("we", "us", "our") is a solution studio based in Hong Kong. We build websites, software systems, and digital products for businesses. For the purposes of the Personal Data (Privacy) Ordinance, Krobyte is the data user responsible for the personal data described below. Our contact email is hello@krobyte.com.

What Information We Collect

We only collect information you voluntarily provide when you:

• Submit a quotation request (name, company name, email, phone, selected services, budget range, timeline, project notes, and any reference material or links you add)
• Email us directly at hello@krobyte.com (your email address, your name if you give it, and the content of your message including attachments)

Providing a name, email address, and at least one service is required to submit a quotation request. Every other field is optional, and leaving it blank does not affect how we respond to you.

Our hosting infrastructure also records standard technical logs (IP address, user agent, requested URL, timestamp) generated automatically by the web server and content delivery network. These logs are used only for security, abuse prevention, and diagnosing faults.

How We Use Your Information

We use the information you provide solely to:

• Respond to your enquiry or quotation request
• Prepare a project proposal or scope document
• Communicate with you about an ongoing or potential project

We do not use your information for marketing, profiling, or any automated decision-making.

Who We Share Your Information With

We do not sell or rent your personal information, and we do not share it for advertising. To operate the site and reply to you, your information is handled by the following parties:

• Internal team members: only those directly involved in responding to your enquiry or delivering your project.
• Team communication tool: quotation requests are delivered to, and stored in, a private internal channel hosted by a third-party communication service provider located outside Hong Kong. Only our team can access that channel.
• Email provider: email sent to us is received, routed, and forwarded by a third-party transactional email provider on our behalf.
• Hosting provider: this website runs on cloud infrastructure, which processes your submission in transit and generates the technical logs described above.

Each of these providers acts as our data processor under contract and is not permitted to use your information for its own purposes. We may also disclose your information if required by law or to establish or defend our legal rights.

Transfers Outside Hong Kong

Our website is hosted in the Hong Kong region, but some of the providers described above store or process data on servers outside Hong Kong, including in the United States and other jurisdictions. Where that happens, we rely on the provider's contractual data protection commitments and limit the data sent to what is needed to respond to you. If you would prefer your enquiry to stay on email only, write to us at hello@krobyte.com instead of using the form.

How Long We Keep Your Information

We retain your contact and project details for as long as there is an active business relationship or enquiry, and for up to two years after our last communication, unless you request earlier deletion. After that period we delete the enquiry from our inbox and from our internal team channel.

Records we are required to keep for accounting, tax, or contractual reasons are retained for the period required by Hong Kong law, even if that is longer than two years. Technical server logs are retained for a short period only and are deleted on our hosting provider's standard log retention schedule.

Your Rights

Under the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong, you have the right to:

• Request access to the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (subject to any legal obligations)
• Withdraw consent for future communications at any time

To exercise any of these rights, email us at hello@krobyte.com. We will respond within 40 days as required by the Ordinance. If you are not satisfied with our response, you may lodge a complaint with the Office of the Privacy Commissioner for Personal Data, Hong Kong.

Security

We take reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, or misuse. The site is served over HTTPS, submissions are transmitted over encrypted connections, and access to enquiries is limited to team members who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Cookies and Analytics

We use two categories of cookies:

• Strictly necessary: used to keep the site working and to remember that you closed the cookie notice. These cannot be switched off and set no advertising identifiers.
• Analytics: we use Google Analytics to understand how visitors find and move through the site, in aggregate. The Google tag is included in the head of every page.

Google processes analytics data as our processor, and the data may be handled outside Hong Kong. We do not use analytics data for advertising, remarketing, or profiling individuals. You can block analytics cookies in your browser settings.

Children

Our services are offered to businesses, and this site is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us personal data, contact us at hello@krobyte.com and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with a revised effective date. We encourage you to review this page periodically.
